Program Coordinator

We’re hiring a Program Coordinator for the Peer to Peer Support Network!

Role details:

Location: Remote (Work virtually anywhere in Ontario)

Salary: $26.44 per hour 

Hours of Work: 20 hours per week

Reports to: Manager, Family Support Programs

Interwoven Connections is an Ontario-based not-for-profit organization that supports families and relationships formed through adoption, kinship, and customary care. We believe that all families have a right to advocacy, support, and guidance. Rooted in lived experience and advocacy, we also emphasize accessible supports for racialized, Indigenous, and 2SLGBTQIA+ communities & caregivers.

 
Purpose of the role:

To ensure the seamless organization and execution of support groups by managing schedules, coordinating attendees, distributing links, sending reminders, and providing essential resources. Collaborating closely with both the clinical leads and the Aggression toward Family/Caregivers in Childhood & Adolescence (AFCCA) Family Supports team, the Programs Coordinator fosters communication, enhances program efficiency, and ensures that participants receive timely and well-structured support. Through strategic coordination and attention to detail, this role helps create a welcoming and effective environment for individuals seeking guidance and connection.

Priority will be given to candidates who bring an understanding of the diverse experiences of underserved communities, particularly those impacted by the child welfare system or complex health needs. While direct lived experience in adoption, kinship, customary care, or family permanency is not required, it is recognized as a valuable perspective that supports culturally responsive and inclusive program coordination.

How you’ll make an impact:

  • Collaborate closely with the AFCCA Family Supports team and P2P Program Manager to develop and sustain a structured framework for peer-led and clinician-led support groups, including the management of waitlists for individuals seeking support.

  • Coordinate with AFCCA Provincial Peer Connectors to maintain the AFCCA caregiver waitlist and ensure active, ongoing support for caregivers.

  • Manage communication for support groups by sending invitations via email, tracking RSVPs, and ensuring timely follow-up with participants.

  • Provide administrative support for all AFCCA-related support groups.

  • Maintain accurate and up-to-date documentation of all communication and participant interactions in the CRM system.

  • Ensure timely distribution of post-support group resources to caregivers, with appropriate documentation recorded in the CRM.

  • Track and maintain documentation of outcomes related to support group participation, engagement, and follow-up, as required.

What makes you a great fit:

  • Post-secondary education in business administration, office administration, social work, community services, nonprofit management, or a related field.

  • Minimum 2 years of experience in program coordination, administration, or client support—preferably in the nonprofit, community service, or human services sector.

  • Strong administrative, organizational, and communication skills, with attention to detail and the ability to manage multiple priorities and meet deadlines.

  • Proficient in Zoom, Microsoft Office 365 (Outlook, Word, Excel, Teams), and CRM tools (e.g., Salesforce or similar).

  • Excellent written and verbal communication skills; bilingualism in English and French is an asset.

  • Knowledge of the experiences of marginalized communities within the child welfare system, and experience providing service to African Canadian and Indigenous children, youth, and families is considered an asset.

  • Demonstrated ability to work both independently and collaboratively in a virtual setting.

  • Commitment to anti-oppression, equity, and trauma-informed approaches.  

Benefits:

3 weeks paid vacation (increases to 4 weeks after 5 years of service, and 5 after 6 years), 6 personal time off days per year, and 12 statutory holidays.
